This Privacy Policy explains how Menuly ("we", "us", "our") collects, uses, discloses, and protects your personal information when you use our AI-powered restaurant ordering service through messaging channels (including, but not limited to, WhatsApp, WeChat, and others) and our web platform. This policy is aligned with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

By using Menuly, you consent to the practices described in this Privacy Policy.

2. Information We Collect


We collect the following categories of personal information:

  • Phone number — required to identify you on messaging channels and deliver order updates.
  • Name — optionally provided during conversations for a personalized experience.
  • Order history — details of items ordered, quantities, prices, and order status.
  • Conversation logs — the full text of your interactions with our AI assistant and any human support agents.
  • Payment information — transaction identifiers and payment status processed through our payment partners (we do not store full credit card numbers).
  • Device and usage data — browser type, IP address, and interaction patterns when using our web dashboard.

3. How We Use Your Information


We use your personal information for the following purposes:

  • Order processing — to receive, confirm, and fulfill your food orders.
  • AI-powered assistance — to provide intelligent, context-aware ordering through our conversational AI agent.
  • Service improvement — to analyze usage patterns and improve the accuracy and helpfulness of our system.
  • Analytics — to generate aggregated, anonymized insights about ordering trends and service performance.
  • Product development — to develop new products, features, and services based on usage data and interaction patterns.
  • Communication — to send order confirmations, status updates, and service-related notifications.

4. AI Processing Disclosure


Menuly uses artificial intelligence to power its ordering assistant. Your conversations are processed by large language models (LLMs) hosted on Microsoft Azure AI Foundry. This means:

  • Your messages are sent to Azure-hosted AI models to generate responses.
  • The AI processes your order requests, answers questions about menus, and handles payment workflows.
  • AI-generated responses are best-effort and may occasionally contain errors (see our Terms of Use for how we handle AI errors).
  • We continuously work to improve AI accuracy but cannot guarantee perfection.

5. Conversation Storage


Important: Although messaging channels (such as WhatsApp, WeChat, and others) provide end-to-end encryption for messages in transit, Menuly stores a copy of your conversation history in our database. This stored data is used for:

  • Inspection and review — to monitor service quality and investigate reported issues.
  • Violation detection — to identify misuse, exploitation, or abuse of the system.
  • System improvement — to train and refine our AI models and ordering workflows.
  • User experience enhancement — to provide context-aware service across sessions.
  • Other legitimate business purposes not limited to those listed above.

Conversation data is retained as long as necessary for the purposes described and in accordance with applicable law.

6. Third-Party Services


We share information with the following categories of third-party service providers:

7. Data Retention


  • Conversation logs are retained for the purposes of inspection, violation detection, system improvement, and user experience enhancement.
  • Order history is retained for as long as your account exists and for a reasonable period afterward for legal and business purposes.
  • Payment data is retained in accordance with financial regulatory requirements.
  • You may request deletion of your data at any time (see Section 8).

8. Your Rights Under PIPEDA


As a Canadian user, you have the following rights regarding your personal information:

  • Access — You may request a copy of the personal information we hold about you.
  • Correction — You may request that we correct inaccurate or incomplete information.
  • Deletion — You may request that we delete your personal information, subject to legal obligations that may require us to retain certain data.
  • Withdraw consent — You may withdraw your consent to the collection, use, or disclosure of your information at any time, subject to legal or contractual restrictions.

Our web dashboard uses cookies and similar technologies to:

We implement appropriate technical and organizational measures to protect your personal information, including:

  • Access controls limiting who can view personal data.
  • Regular security assessments and monitoring.

No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
